SoftGroup® Mill 2007 is a specialized information system designed for operating in mills, completely covering and following out the physical process of delivering and processing raw materials. The program is composed of an application containing modules divided into three packages - Grainstore, Manufacturing and Batching and Sales. The Grainstore package includes all modules from the information system SoftGroup® Granary 2007. In addition, work with materials supplied by the customer is the available.
The "Manufacturing" package is composed of two modules – Manufacture Laboratory and Manufacturing. They process and follow out all activities relating to manufacturing output. They provide detailed information and a wide range of reports related to the quantities of raw materials that come in and their corresponding manufactured production. The Batching and Sales package is composed of four modules: Finished Production Laboratory, Finished Production Storehouse, Sales and Sales Logbook.

MODULES

Weighbridge

The module serves the process of weighing out the grain quantities crossing the factory truck/lorry weighbridge. It provides detailed daily reports about the number and quantities of documents. They are processed by two non-modal forms (for incoming and outgoing documents) whose main functions are:

  • Creating new documents for delivery or ordering of quantities of grain through choosing the partner and the number of the vehicle from the nomenclature, and filling in the relevant date, batch and representative.
  • Reporting the quantities weighed gross and tare in succession depending on the nature of the activities.
  • Generating a Weighing Receipt upon each delivery or order of a primary document.


This module’s functionality includes the possibility for integration with electronic truck/lorry weighbridges to eliminate the subjective factor in weighing.

Laboratory

This module operates the activities performed in the factory laboratory. In each document created in the Weighbridge module (whether incoming or outgoing), the data from the laboratory analysis is filled in. The module operates with an unlimited number of cultures and analysis indicators since there is the additional possibility for them to be entered by the user as nomenclatures.
For each document there is the option for automatic calculation of the bonificated weight as per the Bulgarian National Standards. If the user so wishes, additional individual bonification methods for each culture can be set and used in particular circumstances (depending on the crop, the market conjuncture, etc.).
The module’s functionality includes the possibility for integration with electronic laboratory appliances so that the subjective factor in measuring is eliminated.
The module can print the following primary documents:

  • Laboratory Analysis Certificate – contains the analysis data for one document (one vehicle)
  • Daily Analysis Certificate – contains the daily weighted average values from all supply documents of a given counterparty
  • Summarized Analysis Certificate for a given period – contains a list of the daily analysis certificates for a period specified by the user. In the end, the weighted average of all values of the quality indicators from the Daily Analysis Certificates is presented. In this way the user quickly obtains accurate information about the quality of all supplies by a given counterparty for a certain period. This in turn contributes to extra flexibility and precision in negotiating purchase prices.

Storehouse

This module includes operations on entries of deliveries, orders and transfers of quantities of grain. It generates detailed reports regarding the movements of quantities, current availabilities, non-entered deliveries and free capacity about each grain elevator.

Accounting

The module is designed for work at the company’s accounting department. It does not implement routine accounting operations but provides users with detailed price information and price reports. Its main functions are:

  • Valuation of deliveries, orders and transfers of quantities of grain.
  • Determining the appropriate status of each document: purchase, sale, safe-keeping.
  • Balance for all partners showing summarized balances of BGN liabilities and receivables
  • Balance for all partners showing liabilities relating to quantities in safe-keeping for each grain crop
  • Changing the status of the quantities of grain (from safe-keeping to purchase) and valuation
  • A possibility for transfer of quantities of grain in safe-keeping between partners affecting the values in their relevant balances
  • Payment processing
  • Printing of various kinds of primary documents: Records of delivery and reception (on delivery, sale, safe-keeping ordering), Record of internal transfer and Record of status change
  • The module allows for a comprehensive vista on the whole document flow for each partner

Manufacture

This module covers the process of raw materials processing in a mill factory. Its basic function is to provide information and reports about the processed raw materials and the production output for each shift.
It processes the following operations:

  • Creating new manufacture documents for each shift.
  • Counting orders of quantities of raw materials for production.
  • Calculating manufactured quantities about each outgoing item of the nomenclature.
  • Providing information about the quality indicators of the raw materials input in the manufacturing process.
  • Providing information about the average data values of the laboratory analysis of each outgoing item.
  • Generating the primary document Production Statement at the end of each shift.


The module’s advantages are related to the fact that it helps control the critical points in the very production process. It contains daily history covering:

  • People working in the production process in each shift.
  • Idle times of the mill factory and the causes thereof.
  • Quantities of processed raw materials.
  • Quantities of output production.
  • Quality of the output production by items using the analysis values shown by the laboratory analyses.


The functionalities thus provided contribute to a great extent to improving the control and quality of production. The module incorporates a possibility for integration with electronic scales measuring the raw material input in the production and the quantities of output production.

Laboratory Manufacture

This module processes the activities related to the quality laboratory tests during production. It provides detailed information and analyses regarding the quality of output production for each shift.

Finished Production Store

This module processes the warehouse availabilities and the movements of finished production by batches. It performs the following operations:

  • Entry of delivered packaged and loose quantities into a storehouse selected by the user.
  • Possible store-to-store transfers of quantities of finished production
  • Automatic ordering of quantities of finished production from the storehouse base after sale.
  • Possible packing of quantities of loose production that has already been entered as delivered in the storehouse base.
  • Generating documents for sale orders of selected batches (according to the customer’s requirements) that automatically show in the Sales module and require entry of price information in order to proceed to the next stage in the sale process.
  • At any time, providing information about:
    - available quantities by items
    - available quantities by batches
    - the distribution of batch availabilities of a certain item in the storehouse base


The merits of this module have to do with the detailed information it provides about the quantity movements by batches. One of its exceptionally useful features is the possibility for advance ordering of quantities for sale. This is done when a certain customer is to be sold production with strictly fixed quality indicators. In such cases the relevant employee can quickly obtain a report of the numbers of the batches that meet the customer’s quality requirements and order the exact quantities to the sales department.

Finished Production Laboratory

More often than not, due to technological peculiarities, the analysis values measured during the production process are irrelevant to the quality of the finished production (packaged or loose). The reason for this is the indefinite stay-time of finished production. In the subsequent packaging process it is no longer certain when the production has been output (date and shift), so a quality certificate cannot be issued. This is a critical point that can be dealt with using this module. The module processes the following operations:

  • Creating batch numbers for each product.
  • Attaching an unlimited number of laboratory analyses to an already existing batch.
  • Generating summarized analysis values included in the quality certificate that goes with each sale.


The module quickly provides accurate information about the quality of the finished and marketed production by batches. Together with the Sales module it forms a powerful report tool, regarding, for example, what finished production (with a certain batch number and a certain quality) to which exactly customers has been sold.

Sales

The module processes the sales of finished production through the following operations:

  • Generating sales documents
  • Processing sale order documents
  • Printing the primary document Sales Receipt for each sale
  • Printing the primary document Quality Certificate providing information about the quality indicators of the batches in the Sales Receipt
  • Possible clear-off of the quantities of ready production made with a customer’s raw materials, after which the quantity balance of the relevant partner is automatically adjusted


The module’s advantages relate to providing full information about the sales history. At any time, the user can quickly obtain a report about:

  • Current daily sales
  • Amount of sales for a random period
  • Amount of sales by partners for a selected period
  • Amount of sales by items for a selected period


With the reports thus generated a management team will be able to make a detailed and in-depth analysis of the current market situation, which, in turn, is a basic element of successful management.
